For this week’s episode I’m going to be sharing the coaching toolkit - basically a collection of the tools that you can have on hand in your business to help you really create a strong foundation. These tools will help you manage the business side of things and also help deliver your coaching, and are the 7 tools I personally love using in my own coaching business.

Major perk: All of these tools are free or have a free option. It really doesn’t cost that much to run a booked out and thriving coaching business, and these tools will help you do that without costing you tons of money.

Here are the 7 online business tools I absolutely can’t live without:

  1. Google Drive

    I obviously use Gmail for my email and use Google calendar to manage my schedule, but Google Drive specifically is really at the heart of how I run my coaching business. I use Google Drive instead of my computer’s hard drive for client work. Here’s a snapshot of how I use it:

    • Folders to share documents with clients

    • Sheets (Excel) for a financial dashboard

    • Docs for client worksheets

    I do pay for some extra storage space on Google Drive so that I can manage all my client’s dashboards and create worksheets and other resources for them, but you don’t necessarily need to do that in order to get great use out of Google Drive.

  2. Asana + Google Calendar + The Daily Page Planner

    Asana is for task management and is extremely versatile in how you can use it. I use it as a client relationship management system. It helps me keep track of each client and where they’re at in their program with me.

    I couple this with my Google Calendar to keep up with any client-related tasks (such as checking in on a client or asking for a testimonial). I also use a daily planner - specifically The Daily Page Planner - to have a pen and paper version of my schedule and to-do list.

  3. Calendly + Google Calendar

    Calendly is a scheduling software, and I use it for scheduling both sales calls and coaching calls. It syncs to your online calendar (so for me, Google Calendar) to see when you’re busy and available. You can also set up what days/times you want to take calls and when you don’t.

    There is a free version, but I prefer to pay for the upgraded version because I really love some of the premium features, such as connecting to Zoom.

  4. Stripe and/or PayPal to collect payment

    This isn’t technically free, since both of these payment processors charge a fee on each transaction, but it doesn’t cost you anything up front to use these tools. You need to have a way to have your clients pay you and Venmo isn’t exactly the best option. It’s worth it to use a tool that’s made for business transactions like these tools.

  5. Zoom

    I feel like thanks to Covid, everyone knows what Zoom is, but if you don’t, it’s a video conferencing platform. I send my clients a link that they use to hop on the call (and I use this for conducting coaching calls, sales calls, and even market research calls), and I have the ability to both share my screen to help show clients things that will help them and record the call so that both myself and my clients have access to the recording.

    Zoom does have a free version, but I upgraded to the paid version because there were just some features that I wanted to have access to.

  6. WhatsApp

    I love using WhatsApp for the delivery of my coaching because it allows me to provide super easy daily support to my clients. You can use the app on your phone, but you can also use it in a web browser, and you can do voice memos or videos on both as well.

    Another reason I love WhatsApp is because it separates my client delivery from my marketing. I know a lot of people love to use Facebook Messenger or Instagram DMs but WhatsApp gives me the ability to make my clients a priority and give them that VIP treatment.

  7. Loom

    Loom is a video recording tool that I use for curriculum and supplementary trainings. It’s actually a Google Chrome plugin and you use it to screen record, which makes it easy to supply trainings and tutorials to your clients.

All of these tools are FREE! As I mentioned, I do use some of the upgraded features on a few of these tools, but it’s so worth it for how they help make my business so easy to run.

I think I pay...

  • $20/year for extra Google Drive space

  • $96/year for Calendly premium

  • $75/year for Zoom ($149 for a plan but somehow I found a discount code)

These are all the things I couldn't live without in my coaching business. I probably could opt for the free plans if I wanted to, but it's worth it for me to pay.
